How to use the Campaign Tool for automating tedious tasks.

Introduction

Build a template that includes a customizable set of automated triggers. These triggers can be used to initiate actions for managing and communicating with your contacts within Narware and your connected integrations around the life of a Webinar. 

With the campaign tool you will be able to easily add and remove tags, add or remove contacts from lists, campaigns or different workflows, send emails, send text messages and much more all through automation while dynamically targeting specific audience groups related to the webinar.


How To Guide

Creating a New Campaign

First locate the Campaign menu item located in the left navigation and select Campaign Summary

In the Campaign Summary you will be able to locate all of your different Campaigns by default we have created a default campaign titled Narware Default Campaign.

Select + Create New Campaign in the top right to create a new Campaign or simply select an already existing campaign to modify its set of triggers and assigned webinars.

Create a Name for your campaign and provide a description to aid in reuse of the set of triggers for future webinars.

By default the campaign will be set to inactive until triggers are added. At any point a campaign can be changed to active or inactive by manually changing the Campaign Status.


Creating Triggers

In order for a campaign to automate any actions triggers must be created. Select + Add Trigger to create a new trigger for the selected campaign.

Create a name for the Trigger to use as a reference for viewing history logs of tripped triggers or to reference for reuse of the trigger.

Configuring the Date and Time

Set the Trigger Date to define the day for when the trigger will take action. Options include a range starting from 30 days before the scheduled start of the Webinar to 30 days after the scheduled start of the Webinar. Day 0 (set by default) reflects the day of the webinar.

Select the Time Type

Exact Time of Day : Refers to a specified hour and minutes of the defined Trigger Date. If this option is selected then include the time of day you wish the trigger to fire.

Relative to Start of Webinar : Refers measurement of time Before or After the Scheduled Start Time of the Webinar. (Example: if webinar is scheduled for 12:30 PM and you set the ‘Relative to Start of Webinar’ Relative Time to 4 Hours 30 Minutes Before then the trigger will be tripped at 8:00 AM on the defined Trigger Date)

Real Time : Refers to an event or moment when an action is made that results in data being updated for a contact such as a registration being created.

After Webinar Processed : Refers to automating the defined actions once Narware has processed the Completed webinar. (Recommended for Webinar related data)

Assigning an Audience

An Audience within Narware represents contacts who have registered to a specific webinar and also match other defined conditions. Narware provides a set of already defined audiences to choose from such as “All Attendees” , “All Registered” , “All Non-Attendees” , “Missing Phone Number” as examples. Narware also provides the option for a user to create their own audience. For more information on creating custom audiences visit “User Guide : Audiences”

Select the Integrated App to Trigger an Automation

Choose from the list of Integrations below to get details on their available automations. Each trigger requires a defined integration and each integration will define an automations that will take place upon the triggered event taking place.

  1. Select the Integration
  2. Select and Configure the Automation(s) you want Narware to perform on the defined Audience members when the Trigger Date/Time conditions are met.

Narware Default Campaign

To make things easier Narware has created a default Campaign titled Narware Default Campaign this campaign consist of 8 different triggers that will fire off in various times depending on the audience they are tailored too. 

  • Registered - will add the Registered tag to a Contact when they register
    Attended - after the webinar is processed will remove the tag Registered and add the tag Attended to any contacts who attended the webinar

  • Missed Webinar - after the webinar is processed will remove the tag Registered and add the tag Missed Webinar to any contacts who did not attend the webinar

  • Joined Late - Will add the tag Joined Late to any contact who is not present in the webinar 5 minutes after the start of the webinar.

  • Left Early - Any contact with an adjusted duration of less than 30 minutes will have the tag Left Early assigned to them.

  • Present at CTA - will add Present at CTA tag after the webinar is processed if contact is present at 45 minutes and then again present at 55 minutes (please adjust these times to when your sales pitch is within the webinar)

  • Hot Opportunity - Any Contact who has an Adjusted Duration greater than 50 min, commented a phone number, or commented the buzz word “Yes” will get Hot Opportunity tag added after the webinar is processed

  • Client - any contacts with transaction total greater than $10 will get this tag added.


Things to consider when creating Triggers

Triggers can result in thousands of API requests being made to your connected integrations, and depending on the connected integrated API’s there may be limitations resulting in delay from when the trigger is designed to be tripped to when it actually is received by your connected integration. 
For example: If a Webinar has 8000 registrations and 5 minutes before the webinar you want a join link sent out to all registrations of the event. As a result you may see some recipients receive the message several minutes after the webinar has already started. 
As a Tip: When creating actions designed to be urgent try to have a more targeted audience that has smaller sizes. Audience groups exceeding 1000 will take several minutes.
